Ellington Mechanical Services is seeking a competent, organized, and meticulous Office Assistant to join and help support our growing team of professionals! In this role the Office Assistant will be responsible for ensuring basic office duties are maintained so as to ensure an efficient, highly functioning office work flow. Office Assistant would be responsible for, but not limited to, duties such as basic inventory tracking; acceptance/distribution of deliveries and material shipments; answer incoming calls and route calls accordingly; take messages; providing professional greetings and proper direction to visitors, routing incoming mail appropriately; supporting the office and field by completing routine assignments; and other office duties. Candidate must be a self-motivated individual with an ambitious, growth mindset.

Responsibilities & Duties
• Provide office support to faculty by maintaining office functions and performing routine clerical tasks
• May assist with organizing and managing files
• May maintain calendars and assist with the scheduling of appointments, meetings, or conferences
• Establish, maintain, process, and/or updates files, records, and/or other documents
• Professionally accept incoming calls, provide applicable information, direct calls to appropriate faulty member, and/or take messages
• Duplicate/copy materials, prepare and transmit facsimiles/emails, and make outgoing calls as requested
• Receive incoming shipments, materials, and mail; ensuring that proper faculty is notified upon arrival, item(s) received are in good condition (not damaged/missing), and then stored or delivered to appropriate location/faculty member. Candidate will need to be or willing to become forklift certified
• Operate computer to draft basic correspondences, enter data, and print letters, labels, reports, and/or other materials
• May perform various routine errands, as required
• Undertake additional, miscellaneous office related tasks, as required
• Achieve organizational goals while upholding standards and best practices

Preferred Qualifications & Skills
• 1-2 years’ experience in office management preferred
• High School Diploma or GED
• Able to work well on a team
• Able to work independently
• Able to prioritize tasks and assignments
• General understanding of office duties and functions
• Proficient computer skills with experience of Microsoft Office products and other business-related software
• Strong interpersonal communication skills
• Excellent verbal, written and presentation skills
• Skill in the use of operating basic office equipment
• Able to pass a drug screen and background check
• Clean driving record
• Forklift certified or willing to become forklift certified, as needed
• Notary public or willing to become a notary public, as needed
Compensation: $14.00 - $16.00 per hour
